Staff Directory

View, search, filter, and manage all registered staff members with profile cards, organizational chart, and lifecycle tracking.

Accessing the Staff Directory

Navigate to Workforce > Staff > Directory to view all registered staff members. The directory provides multiple viewing modes and powerful filtering capabilities to help you quickly find and manage employee records.

Search & Filter

The directory toolbar includes comprehensive search and filter options:

  • Quick Search — Type any part of a name, staff ID, email, or phone number to instantly filter results
  • Department Filter — Dropdown to show staff from a specific department
  • Branch Filter — Filter by organizational branch/location
  • Status Filter — Show only Active, Suspended, Terminated, or On Leave staff
  • Employment Type — Filter by Full-time, Part-time, Contract, or Intern
  • Date Range — Filter by date of hire range

Filters can be combined for precise results. For example, show all active full-time staff in the Engineering department at the Lagos branch.

Profile Cards View

The default view displays staff as profile cards showing:

  • Passport photo (or initials avatar if no photo uploaded)
  • Full name and job title
  • Department and branch
  • Staff ID badge
  • Status indicator (green = Active, yellow = On Leave, red = Suspended, gray = Terminated)
  • Quick action buttons (view profile, send message, edit)

Org Chart View

Switch to the Org Chart view to visualize your organizational hierarchy. This view renders staff based on their reporting manager relationships, showing:

  • Hierarchical tree structure from top management down
  • Department groupings with color coding
  • Headcount per department/team
  • Click any node to view that person's profile or their direct reports
The org chart is automatically built from the "Reporting Manager" field set during staff registration. Ensure all staff have their manager assigned for an accurate chart.

Status Management

Each staff member has a lifecycle status that controls their access and visibility across the platform:

  • Active — Currently employed and operational. Full access to clock-in, portal, and all assigned features.
  • On Leave — Temporarily away. Excluded from attendance requirements but retains portal access.
  • Suspended — Under investigation or disciplinary hold. Portal access disabled, clock-in blocked.
  • Terminated — Employment ended. All access revoked. Record retained for historical reporting.

Changing Staff Status

  1. Open the staff member's profile from the directory
  2. Click Change Status in the profile header
  3. Select the new status from the dropdown
  4. Enter a reason for the status change (required)
  5. Set an effective date (defaults to today)
  6. Click Confirm Change

Lifecycle History

Every status change, promotion, transfer, salary adjustment, and disciplinary action is recorded in the staff member's lifecycle history. Access this by opening a profile and clicking the Lifecycle tab. The timeline shows:

  • Date and time of each event
  • Type of change (status, department, salary, role)
  • Previous and new values
  • Who initiated the change
  • Reason/notes provided

Export Options

  • Export CSV — Download filtered staff list as a CSV spreadsheet with all profile fields
  • Export PDF — Generate a formatted PDF staff roster suitable for printing or sharing

Exports respect your current filters. If you have "Engineering" department selected, only engineering staff are exported.

Quick Actions

From the directory, hover over any staff card to reveal quick action buttons:

  • View Profile — Open full staff profile with all details and history
  • Edit — Modify staff information (requires appropriate permission)
  • Send Message — Open direct messaging to this staff member
  • Generate Letter — Quick-access to document generation for this person
  • Assign Shift — Directly assign to a shift schedule
