Configure Academic Settings

Set up terms, sessions, grading systems, class structures, and arms for your school.

Academic Settings is where you define the foundation of your school's structure. Set up sessions, terms, grading scales, classes, and arms before registering students.

Steps

  1. Go to Academic Settings from the main menu.
  2. Under Sessions, click Add Session and enter the academic year (e.g., 2025/2026).
  3. Under Terms, click Add Term and enter the term name (e.g., First Term) with start and end dates.
  4. Under Grading System, define your grade boundaries (e.g., A = 70–100, B = 60–69).
  5. Under Class Structure, click Add Class and enter class names (e.g., JSS 1, SS 2).
  6. Under Arms, click Add Arm and assign arm labels (e.g., A, B, C) to each class.
  7. Click Save to apply your settings.

Fee Structure (Per Class)

Set Registration, Tuition, and Examination fees individually for each class. This is the only source of truth for billing — there are no global fixed prices.

  1. In Academic Settings, find the Fee Structure (per class) table.
  2. Enter the Registration Fee, Tuition Fee, and Examination Fee for each class.
  3. Click Save Fee Structure.

When a student is registered, the system automatically pulls fees from their class. If no fees are set for a class, the student is not charged.

Registration Fee is one-time only. The system automatically checks if a student has ever been charged a Registration Fee before. Returning students are only charged Tuition and Examination fees.

Term Activities & Extra Fees

Add per-term activities like Christmas Party, Excursion, Inter-House Sports, etc.

  1. Expand Term Activities & Extra Fees.
  2. Enter the activity name, amount, and who it applies to (All Students or a specific class).
  3. Click + Add, then Save Activities.

Activity fees are automatically added to matching students' bills during registration.

External Exam Fees

Set fees for WAEC, NECO, JAMB, Common Entrance, and other external exams.

  1. Expand External Exam Fees.
  2. Enter the exam name, amount, and who it applies to (specific classes, External Students, or All Students).
  3. Click + Add, then Save Exam Fees.

When an external student registers via CBT or Exam Prep, the system automatically charges them the configured exam fee. Internal students in matching classes are also billed during registration.

School Items (Inventory)

Manage school items like uniforms, textbooks, and cardigans. Items can be edited or deleted directly from Academic Settings.

  • Click ✏️ to edit an item's name, price, or quantity.
  • Click 🗑️ to delete an item.

Tips

  • Set up sessions and terms before the school year begins.
  • You can edit grading boundaries at any time, but changes only apply to future report cards.
  • Arms allow you to split large classes into smaller groups for easier management.
  • Ensure all classes and arms are created before registering students.

School Logo & Signature

Upload your school logo and Head of School signature in the School Profile section of Academic Settings. These appear on report cards and certificates.

  • Instant Upload — images upload immediately when you select the file. No need to click Save Settings.
  • Supported formats — PNG, JPG
  • Signature background removal — the system automatically makes the signature background transparent for clean display on documents.
  • Remove button — click ✕ Remove to permanently delete the image from the system.
