Announcements & Messaging

Publish organization-wide announcements, send targeted messages to departments or individuals, and track engagement with read receipts.

Publishing Announcements

Announcements are organization-wide or department-specific broadcasts that appear in every staff member's portal and notification feed. Navigate to Workforce > Communications > Announcements.

Create an Announcement

  1. Click New Announcement
  2. Enter the announcement title (displayed prominently in staff portals)
  3. Write the announcement body using the rich text editor (supports formatting, links, and embedded images)
  4. Select the audience:
    • All Staff — Every active employee across all branches
    • By Department — Select one or more departments
    • By Branch — Target specific office locations
    • Custom Group — Select individual staff members
  5. Set priority level: Normal, Important, or Urgent
  6. Optionally schedule for future publication (date and time)
  7. Click Publish (or Submit for Approval if approval workflow is enabled)
Urgent announcements trigger push notifications and are pinned at the top of the staff portal for 7 days.

Staff Messaging

Direct messaging allows HR administrators and managers to communicate with staff individually or in groups.

Individual Messages

  1. Navigate to Workforce > Communications > Messages
  2. Click New Message
  3. Select the recipient from the staff directory
  4. Type your message and optionally attach files
  5. Click Send

Group Messages

Send the same message to multiple staff members simultaneously:

  1. Click New Group Message
  2. Add recipients individually, or select an entire department/branch
  3. Compose your message
  4. Each recipient receives the message individually in their portal (not as a group chat)

Approval Workflows

Organizations can require announcements to be approved before publication:

  1. Enable approval workflow in Settings > Communications
  2. Designate approvers (typically senior management or communications team)
  3. When a staff member creates an announcement, it enters "Pending Approval" status
  4. Approvers receive a notification and can Review, Approve, or Reject with comments
  5. Once approved, the announcement is published to the selected audience
Approval workflow applies only to announcements, not to direct messages. Direct messages are sent immediately.

Read Receipts & Engagement Tracking

Track how your communications are received:

  • Delivery Status — Confirms the message/announcement reached the staff member's portal
  • Read Receipt — Timestamp when the staff member opened and viewed the communication
  • Engagement Rate — Percentage of target audience who have read the announcement
  • Unread List — View which staff members have not yet read an announcement

Access engagement analytics by clicking on any published announcement and selecting the Analytics tab.

Managing Communications

  • Pin/Unpin — Pin important announcements to the top of the feed
  • Archive — Move old announcements to archive (still searchable but not displayed)
  • Edit — Modify a published announcement (staff who already read it will see an "Updated" badge)
  • Delete — Remove an announcement entirely (requires admin permission)
