Bulk Staff Import (CSV)

Import multiple staff members at once using a CSV file with validation and error reporting.

How to Import

  1. Go to the Register Staff or Onboard Educator page
  2. Click the CSV file input area
  3. Select your CSV file
  4. Click Import Staff / Import Educators

CSV Columns

Healthcare Module

StaffID, FirstName, MiddleName, LastName, Gender, DOB, Email, Phone, Department, Role, JobTitle, StaffType, EmploymentDate, Branch, AllowedDays, ShiftStart, ShiftEnd, BankName, AccountNumber, AccountName, GradeLevel, Step

School Module

EducatorID, Surname, FirstName, MiddleName, Gender, DOB, Nationality, StateOfOrigin, Email, Phone, Address, Qualification, EmploymentDate, Branch, EmergencyContact, Reference1, Reference2, BankName, AccountNumber, AccountName, GradeLevel, Step

Validation

Before importing, the system validates each row:

  • Required fields: First Name, Last Name/Surname, Email
  • Email format: Must be a valid email address
  • Phone format: Must be a valid phone number
  • Date format: DOB and Employment Date checked for valid dates

You will see a validation report showing valid rows and any errors before the import proceeds.

Progress

During import, a progress indicator shows how many records have been imported and how many were skipped. After completion, you get a summary with error details if any rows failed.

Tip: The GradeLevel column should match grade names you have created in Grade Structure (e.g., "Grade A", "GL 01").
