CBT Platform Overview

A complete overview of Cloud Sentrics Computer-Based Testing capabilities.

Cloud Sentrics CBT is an enterprise-grade assessment platform built for schools and institutions operating in environments with unreliable internet connectivity.

Question Types

Exam Delivery

  • Exam Code Access — students enter a unique code to start
  • Student ID Verification — identity confirmed before exam begins
  • Countdown Timer — visible timer with auto-submit on expiry
  • Question Navigation — sidebar showing all questions, answered/unanswered/flagged
  • Flag for Review — students mark questions to revisit
  • Review Screen — summary of all answers before final submission
  • Progress Bar — visual indicator of completion
  • Randomized Questions — question order shuffled per student
  • Randomized Options — answer options shuffled to prevent copying

Offline Resilience

Built for unreliable internet (Nigerian network conditions):

  • Auto-save every 10 seconds — answers saved to device locally
  • Session restore — browser crash or refresh restores exam exactly where student left off
  • Offline submission — if network is down at submit, answers retry automatically every 30 seconds
  • Accurate timer — calculated from start time, not network. Stays correct even after disconnection
  • No data loss — in any network scenario, student answers are preserved

Security and Anti-Cheating

  • Fullscreen Lockdown — exam enters fullscreen mode, exiting triggers a warning
  • Tab Switch Detection — leaving the exam window counts as a violation
  • Warning System — 3 violations = automatic submission
  • Copy/Paste Disabled — clipboard operations blocked during exam
  • Right-Click Disabled — context menu blocked
  • DevTools Blocked — F12 and inspector shortcuts disabled
  • Single Device — session token prevents opening exam on multiple devices simultaneously
  • Heartbeat Monitoring — supervisor sees real-time student activity
  • Answer Key Security — correct answers never sent to the browser
  • IP Logging — student IP recorded with each heartbeat

Supervisor Controls

  • Pause Exam — freeze all students mid-exam
  • Force Submit — end a student's exam remotely
  • Add Time — extend duration for individual students

Combined Exams (Multi-Subject)

Registration Portal

Assigning Tests

  • Class-based assignment — assign a test to a specific class and arm

  • Access control — only students in the assigned class/arm can take the exam
  • Parent notification — parents receive an email when a test is assigned to their child
  • Active Exams view — see all assigned/active exams with status, class, and who's taking

Integration with Report Cards

CBT results automatically sync with the school's grading system:

  • Assessment Type sync — CBT scores flow directly into Enter Results / Student Grades
  • No manual entry — teachers don't need to re-type exam scores
  • Report card ready — CBT scores appear on generated report cards alongside other assessments
  • Multiple assessment types — supports CA1, CA2, Exam, or custom assessment categories

This means a single exam taken on the CBT platform becomes part of the student's official academic record without any extra work.

Assessment Statuses

Each assessment goes through three stages:

Status Meaning
Unpublished Created and saved, but not yet assigned to students. Still being prepared.
Assigned Assigned to a class with an exam code and schedule. Waiting for start time.
Active Students can currently take the assessment. Exam window is open.

An assessment moves from Unpublished → Assigned (when you assign it) → Active (when the start time arrives).

Getting Started

Combined Assessments

Combined assessments allow multiple subjects in one exam session (e.g., mock WAEC).

Where to Find Combined Results

Go to CBT → Combined Assessment tab → click the 📊 button next to any combined exam.

Scheduled & Active Tabs

Combined assessments now appear in:

  • Scheduled Assessment — if start time is in the future
  • Active Assessment — if currently within the time window

They're labeled "(Combined)" to distinguish from individual tests.

Creating a Combined Assessment

  1. Go to CBT → Combined Assessment
  2. Click "Create Combined"
  3. Select multiple tests (subjects) to include
  4. Set exam code, start/end time
  5. Assign — students use one code for all subjects

Search Bar

The global search bar (top of dashboard) searches:

  • Students — by name, ID, or parent name
  • Educators — by name or email
  • Navigation — type "attendance", "settings", "payments" etc. to navigate directly

Educator Portal

Educators can view documents sent to them at /portal/educator.html.

Verification: Staff ID + Year of Birth + Last 4 digits of phone number.

Shows all sent documents (query letters, certificates) with view links.

Educator Clock-In System

Staff can clock in/out at /portal/clock-in.html — no dashboard login needed.

How It Works

  1. Admin sets clock-in/out times in Academic Settings → Educator Clock-In Settings
  2. Admin shares the clock-in link with staff
  3. Educator opens link on phone → enters Staff ID + last 4 digits of phone
  4. Clicks "Clock In" → recorded with timestamp
  5. Later clicks again → Clock Out recorded

Status Logic

  • On Time — clocked in before the deadline
  • Late — clocked in after the deadline
  • Absent — did not clock in

Settings (Academic Settings)

  • Clock-In Start (e.g., 7:00 AM)
  • Clock-In Deadline (e.g., 8:30 AM)
  • Clock-Out Start (e.g., 3:00 PM)
  • Clock-Out Deadline (e.g., 4:00 PM)

Admin View

Admin sees clock-in records in the Educator Attendance tab with timestamps and status.

Import Questions from Bank

When creating an assessment, you can import existing questions from the Question Bank instead of typing them manually.

Steps

  1. Go to CBT → Create Assessment
  2. Select the Subject and Class for your test
  3. Click "Import from Bank" button (next to Import from CSV)
  4. A modal opens showing all matching questions for that subject/class
  5. Use "Select All" or check individual questions
  6. Click "Import Selected"
  7. Questions are added to your test immediately

Notes

  • Questions are filtered by the subject and class you selected
  • All question types are supported (MCQ, True/False, Fill, Essay, Passage, Multiple Select)
  • You can import some from bank and add others manually
  • The Question Bank must have questions uploaded first (via Question Bank tab)
