Benefits & Earned Salary Access

Manage employee benefit plans, HMO enrollment, and provide staff with early access to earned wages before payday.

Overview

The Benefits & Earned Salary Access module allows organizations to manage employee benefit plans (HMO, life insurance, pension top-ups) and provide staff with early access to earned wages before payday.

Benefits Management and ESA are available on Professional and Enterprise plans.

Benefit Plans

Creating a Benefit Plan

  1. Navigate to HR & Payroll → Benefits
  2. Click + Create Plan
  3. Enter: Plan Name, Benefit Type (HMO, Life Insurance, Pension Top-Up, Gym, etc.), Provider, Monthly Employer Contribution, Monthly Employee Deduction, Description
  4. Click Save

Enrolling Staff

  1. Open a benefit plan
  2. Click Enroll Staff
  3. Select one or more employees
  4. Set enrollment date
  5. Click Confirm

Enrolled employees automatically have the employee deduction applied to their monthly payroll. Employer contributions are tracked for reporting.

Earned Salary Access (ESA)

ESA allows employees to withdraw a portion of their already-earned salary before the official payday. The system calculates earned wages based on actual days worked this pay period.

How It Works

  1. System calculates: Daily Rate = Monthly Gross ÷ Working Days in Month
  2. Earned balance = Daily Rate × Days Worked So Far
  3. Maximum available = Earned Balance × ESA Rate (default 50%)
  4. Staff requests an amount up to the maximum via the Self-Service Portal
  5. HR reviews and approves/rejects the request
  6. Approved amount is deducted from the next payroll automatically

Example

Staff member earns ₦500,000/month. By the 15th of the month (11 working days of 22 total), they've earned ₦250,000. At 50% ESA rate, they can request up to ₦125,000.

Configuration

In Organization Settings:

  • ESA Enabled — Toggle on/off for the entire organization
  • ESA Max Percentage — Maximum % of earned salary available (default 50%)
  • Payday of Month — When the regular salary is paid (used for calculations)

Request Statuses

ESA requests are limited to one active request per staff member per pay period. Previous requests must be resolved before a new one can be submitted.
